What You Will Do:
Perform and provide secretarial and administrative support services.
Conducts special projects, manages routine/detail work for the Vice President, Human Resources of Firelands Health.
Authorized and responsible for using sound judgment in decision-making when speaking and answering Board members, employees, visitors, patients, physicians and management staff especially during crisis situations and/or handling of complaints or concerns on behalf of the Vice President, Human Resources.
Establishes and prioritizes work assignments.
Responsible to prepare, complete and coordinate confidential correspondence, reports, etc.
Manage routine and detail work and conduct special projects for the Vice President, Human Resources.
Responsible to draft, complete and coordinate confidential correspondence, special reports/analyses, statements, forms, questionnaires, minutes, etc.
which are confidential in nature.
Prepares a variety of correspondence and reports for the Vice President and others.
Arranges appointments and meetings, and performs other duties related to maintaining the Vice President's calendar.
Updates all Firelands Health job descriptions.
Serves as recording secretary for the leadership meetings.
Responsible for the development of the agenda, preparation of PowerPoint presentation, meeting room reservations and organization, and completion of meeting minutes.
Establishes annual schedule and distributes information as appropriate.
Utilizes Cisco webex when requested.
Responsible for understanding and enforcing accrediting agency HR requirements and ensuring those requirements are met through updating policies and procedures.
Updates standards binder for ACHC accreditation review.
Facilitates the process for employee engagement surveys:
completes the survey set-up, establishes the communication plan, creates incentives, ensures survey launch is timely and processes run smoothly, coordinates results delivery and communication to leadership and staff, and assists with the facilitation of the action planning process.
Assists in the organization and implementation of the annual flu vaccination campaign including scheduling committee meetings, creating the vaccination schedule, making announcements to employees, attending and assisting at flu clinics, and transporting flu cart to vaccination locations.
Assists with verifications of employment, verbal and written, ensuring written documentation is attached to the employee's electronic HR file.
Responsible for gathering and formatting data for the Human Resources Dashboards on a monthly basis and ensures it is saved on the dashboard drive.
Reviews documentation for attendance and counseling statements, verifies accuracy, records in the UltiPro system, and electronically files in the employee's UltiPro file.
Completes renewal entry into UltiPro of all licenses and job-required certifications for Firelands Health.
Maintains the Firelands Health Discount Guide.
What You Will Need:
Associate's degree required including coursework in office duties or related experience; a minimum of 3 years' human resources or healthcare-related experience required.
At least 5 years executive secretarial experience or equivalent.
Secretarial experience must include utilization of a personal computer and software such as Microsoft Outlook, Word, Excel, PowerPoint, Publisher, and Survey Monkey.
Solid knowledge and use of proper spelling, grammar, and punctuation required.
Able to draft written correspondence and verbally communicate precisely and effectively.
Proven ability to interact effectively with people at all levels of the organization and representatives of outside agencies/firms.
Must have the ability to work autonomously and to adapt to change while supporting the Human Resources operations.
Ability to work in a fast-paced environment requiring multi-tasking.
Strong organizational skills; experience coordinating projects or events a plus.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
